Administrative Assistant (Bilingual Spanish) (Infant-Toddler)

The Infant-Toddler Home Visitation Program provides up to two years of services for families with children 0-3 years of age. The program utilizes the Parents as Teachers (PAT) curriculum. PAT is an early childhood home visiting program designed to help parents lean more about parenting, support their child’s development, and help with the challenges of parenting. Services also include connections to community resources, group connections with other parents, developmental screenings, and improvements in family well-being. Services are provided (at no cost) in English, Spanish, and Vietnamese.

The Priority Center also offers a 9/80 work week schedule which allows for one day off every two weeks (equivalent to having an additional 26 days off per year!).

 

Job Summary:

The Administrative Assistant-Data Entry position provides support to the First Five Orange County Children & Families First Five Orange County funded programs by assisting in the required data entry of client information into the Bridges Connect and Penelope systems and performing other duties.

Goals:

  • Continue to learn new skills to improve work efficiency and performance
  • Seek out other activities to support the operations of the Center

Essential Duties and Responsibilities:

  • Statistics and Reporting
  • Assist with monthly stats as needed.
  • Collect weekly productivity numbers for home visits, Direct Service Hours (DSH), travel time, and Targeted Case Management (TCM) from Infant/Toddler HV caseworkers and email to supervisors.
  • Data Entry
  • Enter Family Information Forms into Bridges Connect and Penelope
  • Enter new referrals into Bridges Connect
  • Compile monthly TCM Encounter Logs in preparation for annual Cost Report
  • Assist with CalWORKS HVI data entry
  • Assist with Neighborhood Resource Network (NRN) duties as needed
  • Administrative Duties
  • Provide clerical, typing, and filing assistance to direct service staff as needed
  • Type and send no contact letters to clients and pending referrals
  • Responsible for being the first point of contact for families calling the center to inquire about the Infant and Toddler programs; discuss program details with potential clients and take self-referral information when appropriate
  • Represent programs at community outreach events
  • Screen new referrals for client information, client schedule, and additional details regarding client issues
  • Contact referring parties to obtain additional information and advise of waitlist
  • Complete client engagements with NRN families, which includes phone calls, and outreach mailings.
  • Complete quality assurance calls monthly
  • Translate satisfaction surveys and other documents
  • Assist with obtaining new resources for clients
  • Provide agency reception area coverage as needed
  • Attend monthly Admin Assistant meetings and case reviews
  • Attend weekly supervisions
  • Conduct Spanish fluency tests with potential interns and employees
  • Office Maintenance
  • Monitor and maintain the Infant/Toddler Program materials
  • Assist with closed file maintenance and storage
  • Support with mailers, copying, filing, translating, and general clerical projects outside the Infant and Toddler programs if requested by immediate supervisor

Position Qualifications:

  • Strong knowledge of Word, Excel, Access, Outlook, and PowerPoint desired
  • Ability to multi-task
  • Bilingual Spanish/English required
  • AA or equivalent
